Status: Full-time, Exempt; occasional nights and weekends; on-call duties
Reports To: Executive Director
Salary Range: $45,000-$55,000

Job Summary
Mosaic is a 501(c)(3) nonprofit organization that provides low-cost art classes Monday through Wednesday and private event rental Thursday through Sunday. The Events and Marketing Manager is responsible for all private event booking as well as marketing efforts for Mosaic. Event coordination includes venue tours, booking events, creating contracts, working closely with all renters, finalizing event day details, collecting payments, and training/scheduling event staff. This position will also develop and implement a comprehensive marketing strategy for Mosaic art classes and venue rental. Outstanding customer service skills and strong attention to detail are crucial skills the Events and Marketing Manager should possess. The ideal candidate will be enthusiastic about sharing Mosaic’s services with the public and attracting new clients and visitors.
Job Responsibilities
Events Coordination and Staff Management
- Coordinates 75+ events per year including creating contracts, booking events, working with renters, finalizing details, and ensuring payment.
- Provides outstanding customer service as an enthusiastic professional and builds relationships with customers.
- Regularly reviews venue events to assure continued quality of service.
- Orders and receives supplies and rental items for events.
- Manages and schedules part-time event staff.
- Acts as the Manager on Duty or Bartender for events as scheduled and aids events as needed.
- Provides backup support for event set-up and clean-up as needed, including evenings and weekends.
- Provides on-call assistance during private events as needed to event staff.
Marketing and Advertising
- Manages Mosaic’s social media posts.
- Develops and implements communication strategies and materials that align with Mosaic’s mission and promotes both art programming and event venue.
- Maintains Mosaic’s website, keeping content up to date and relevant.
- Actively promotes venue rentals and art programming at vendor events and showcases.
- Builds relationships and collaborates with vendors to gather content from events to utilize in Mosaic’s marketing.
- Identify opportunities for community engagement to promote Mosaic services.
Other duties as assigned.
Skills and Qualifications
- Experience coordinating special events preferred.
- Experience or education in marketing and promotion preferred.
- Must be able to anticipate project needs, discern work priorities, and meet deadlines with little supervision.
- Must be willing to work evenings and weekends as needed.
- Must have a proven ability to plan, manage, document, and organize events with strong attention to detail.
- Demonstrate excellent communication skills, including writing, proof reading skills, and speaking.
- Ability to manage multiple projects and work assignments for a variety of clients.
- Excellent interpersonal skills both in person and by phone, with high professionalism.
- Fantastic customer service ethic and high expectations for quality.
- Proficiency using the latest versions of Microsoft Office and mail merges; email and web searches and able to learn new computer programs specific to Mosaic.
- Proficiency using web and social media-based platforms.
- Must be able to lift to 50 pounds to assist with event set-up and tear-down by lifting and moving tables and chairs.
